Privacy Notice
How JFCS Refrigeration collects, uses and protects your personal data.

1. Who we are
JFCS Refrigeration ("we", "us", "our") is a sole-trader refrigeration engineering business based at 14 Keast Walk, Gosport, PO13 0UB, United Kingdom. We are the data controller for any personal data you provide to us.

2. What we collect
Depending on how you interact with us, we may collect:
- Contact details — name, email, phone, business name and site address when you request a quote or book work;
- Job information — equipment details, fault descriptions, photographs of equipment, F-Gas logbook entries;
- Billing details — invoice address and payment records (we do not store full card numbers; card payments are processed by Zoho Invoice);
- Website data — anonymous, aggregated visitor statistics from Cloudflare Web Analytics (no individual tracking), and a security cookie set by Cloudflare to protect the site from abuse.
3. Why we use it (lawful basis)
- To provide our services (contract) — quoting, scheduling, attending, invoicing;
- To comply with the law (legal obligation) — F-Gas record-keeping, accounting/HMRC, statutory leak-check certificates;
- Legitimate interests — responding to enquiries, keeping basic job records for warranty and recall, securing our website.
4. Who we share it with
We only share what's necessary to run the business:
- Zoho Invoice — to issue and process invoices;
- Resend — to deliver quote-request emails from our website to us;
- Cloudflare — to host the website and protect it from attack;
- Our accountant and HMRC — for statutory accounts and tax filings;
- Parts suppliers — when delivery or warranty registration requires it.
We do not sell your data and we do not use it for marketing without your consent.
5. How long we keep it
- Job and invoice records: 6 years after the end of the relevant tax year (HMRC requirement).
- F-Gas logbook entries: 5 years (statutory).
- Enquiry emails: up to 2 years from last contact, then deleted.
- Website analytics: aggregated only, retained by Cloudflare in line with their policies.
6. Your rights
Under UK GDPR you can ask us to:
- Confirm what personal data we hold about you;
- Correct anything that's wrong;
- Delete data (subject to legal record-keeping duties);
- Restrict or object to certain processing;
- Receive a copy of your data in a portable format.
Email [email protected] with any request. We aim to respond within 30 days.
If you're unhappy with how we've handled your data you can complain to the UK Information Commissioner's Office at ico.org.uk.
7. International transfers
Some of our service providers (Cloudflare, Zoho, Resend) operate globally and may process data outside the UK. Where they do, they rely on UK/EU approved safeguards (Standard Contractual Clauses or equivalent).
8. Security
The website is served over HTTPS, protected by Cloudflare, and operational systems are access-controlled. We use reputable third-party providers that meet recognised security standards.
9. Changes
We may update this notice from time to time. The "Last updated" date at the top will reflect the most recent change.
